Fabric Systems’ first Chief of Staff will serve as the right-hand partner to its Chief Executive Officer (CEO), Michael Gao, so he can effectively fulfill his commitments and operate at the highest level. This role spans both the strategic and the tactical, working very closely with the CEO and other stakeholders to ensure accountability, execution, and delivery of strategic priorities. The Chief of Staff will serve as the organizational “glue” to propel initiatives forward. The ideal candidate is someone passionate about technical problem solving, operations, and creating scalable systems and processes with the presence to garner respect and trust from a team of experienced leaders.
The Chief of Staff’s responsibilities will encompass four primary areas:
- Create sustainability and continuity of executive office systems and processes
- Maintain “quality control” of information and communication to reduce reactivity; anticipate the needs of the CEO and work to solve problems before they occur
- Serve as a highly reputable extension of the CEO to internal and external stakeholders, whenever necessary
- Manage a communicative and highly cohesive executive office team aligned toward common goals while championing a strong and motivated work culture
- Rationalize CEO’s time, so it is spent in the appropriate focus areas
- Lead the organization’s development of a strategic planning and execution framework
- Maintain a collaborative and highly cohesive team aligned toward the same goals
- Promote strong communication and collaboration between CEO and team
- Build relationships with employees across the organization, understanding each team member’s priorities, challenges, and opportunities
- Foster an environment of transparency and collaboration across the organization; the COS will be a resource to CEO to remove obstacles preventing progress on strategic initiatives
- Partner with internal and external stakeholders to ensure timely and accurate completion of projects and activities
- Ensure “quality control” of information and communication to reduce reactivity
- Provide consistent and relevant briefing information to the principal prior to key meetings and events
- Ensure time is properly rationalized and spent in the appropriate areas of focus
- Identify operational weaknesses and help improve or innovate new processes
- Identify ways to promote effective meetings, including follow-up and action items
- Project management of new initiatives, both for Fabric Systems Inc. and other business endeavors
- Assist in crafting initial messaging and marketing material creation for new initiatives
- 8-12+years of prior work experience
- Strong interpersonal and communication skills; ability to interact with the highest level of leadership and build rapport with internal and external partners
- Exceptional analytical and quantitative abilities
- Excellent oral, written communication, and presentation skills and proven ability to communicate across organizational levels and roles
- Exemplifies an open mindset and commitment to internal growth
- Experience with strategic planning, organizational planning, and operational follow-through
- High emotional intelligence
- Solid business acumen: you understand key leadership and managerial attributes to lead projects from end-to-end with multiple stakeholders involved
- Strong knowledge of operational systems, structures, and ways of working with a collective team and executive office
- Data-driven with a bias towards taking action to improve key metrics
- Concise, persuasive, and authentic communicator both verbally and in written communication
- Ability to understand and anticipate the needs of an individual and act on them without direction
